Privacy Notice

For job applicants. How Automoves handles your information when you apply for a job or send an open application.

1. Who we are

Automoves Ltd. is a vehicle logistics company based at 885 Rangeview Rd, Mississauga, ON L5E 1H1, Canada. This Privacy Notice explains how we collect, use and protect your information when you apply for a job or send an open application on automoves.com. For how we handle customer information, see our general Privacy Policy.

We handle your information in line with Canada’s federal privacy law (PIPEDA) and, where they apply, the privacy laws of Alberta, British Columbia and Quebec.

2. Information we collect

Information you give us

  • Name, email address and phone number
  • Your CV and anything in it, such as work history, education and skills
  • Answers to screening questions, if the job has them
  • Whether you hold a valid driver’s licence, if the role requires one
  • Your message to the hiring team, if you write one
  • For open applications: the type of role and location you are interested in

Information created during hiring

  • The status of your application and notes from our hiring team
  • Interview notes, if you are interviewed
  • Reference checks, only if you are shortlisted and give us your references
  • For roles that require a driver’s licence: a copy of your licence and a driving record check, only with your express consent and only after a job offer

Information collected automatically

  • IP address, device and browser type
  • Cookies and similar technology used to keep the form working and protect it from spam
  • How you found the job, for example LinkedIn or a job board

If you ask for an accommodation during the hiring process, we use that information only to arrange it.

Please do not include sensitive information in your CV, such as your Social Insurance Number, date of birth, health information or photos. We do not need it to review your application.

3. How we use it

  • To review your application and assess your fit for the role
  • To contact you about your application, including interviews and decisions
  • For open applications: to contact you if a matching role opens
  • To verify references and, for roles that require a driver’s licence, your licence and driving record
  • To protect our forms from spam and abuse
  • To meet our legal obligations

We do not use AI or automated tools to score or reject applications. A person reviews every application and makes every hiring decision.

We do not use your information for marketing.

5. Who we share it with

Inside Automoves

Only staff involved in hiring—administrators of our careers system, hiring managers and people with approved access to our careers inbox—can access applicant information.

Technology we use

No other company reviews or uses your application. Our website relies on service providers that handle your information on our behalf: website and file hosting, email delivery, and Google reCAPTCHA for spam protection. They process it only to run these services for us.

Authorities

Government or law enforcement, only when the law requires it.

We do not sell your information or share it for advertising.

6. Where it is stored

Your application and CV are stored in private storage provided with the Automoves website hosting environment. Some service providers, such as Google reCAPTCHA and our email delivery provider, may process limited information outside Canada. When that happens, it may be subject to the laws of that country and authorities there may be able to access it.

7. How we protect it

  • Only staff with a named, authorized account can open applications
  • Careers access is restricted according to each user’s WordPress role
  • CVs are stored as private files and cannot be opened from a public link
  • The careers pages and forms use an encrypted connection (HTTPS)
  • Every action on an application is logged with who did it and when

8. How long we keep it

We keep applications and open applications for 12 months from the date received, then delete them automatically, including your CV. You can ask us to delete them sooner. If you are hired, your information moves to your employee file.

9. Your rights

You can ask us to:

  • Show you the information we hold about you
  • Correct information that is wrong
  • Delete your application and your information
  • Stop contacting you about future roles

If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada, or the privacy commissioner in your province: the Office of the Information and Privacy Commissioner of Alberta, the Office of the Information and Privacy Commissioner for British Columbia, or the Commission d’accès à l’information du Québec.
